Back Office Administrator

Job Specifications

Reporting to the Back Office Supervisor and working from Luxembourg, the Back Office Administrator will work within a small team & have direct contact with other departments and offices +  external companies, along with client communication.

The ideal candidate will have administrator experience and a background in finance. He/she will be highly numerate, pay close attention to detail and have analytical skills. An in-depth knowledge of Financial investments and business processes would be an advantage.


Processing New Business: Checking new applications, calculating expected revenue, recording data & updating the Client Relationship Managers & Wealth Managers business pipelines.

Processing Revenue Claims: Recording data, calculating expected revenue, sending claims to relevant companies & updating Client Relationship Managers & Wealth Managers pipelines.

Pipeline Report for Wealth Managers and Client Relationship Managers: Ensuring that the pipeline report is kept up to date & sent out via email to all the offices/employees on a weekly basis. Also liaising with our business partners in order to get follow ups on new & existing business. Within this role you will need to ensure the Client Relationship Managers & Wealth Managers are aware of any outstanding items or issues with their applications.

Premium Arrears: Retrieving information from the life companies to ensure all arrears information is logged on the relevant Client Relationship Managers & Wealth Managers pipelines to ensure they can follow up with the client to clear the arrears.

DMS Invoicing: Raise the annual invoices and send these to the clients & managing the process through to collection and recording.

Quickbooks: Entering invoices, payments and all other bank transactions..

Additional Duties: Placing orders with suppliers, filing, answering the telephones, welcoming clients & guests, dealing with couriers and general post, inputting data on the Sugar CRM system & communicating any additional information relating to clients, Client Relationship Managers & Wealth Managers.
